16.04 Difficult to meet: time difference 3 Maybe make common schedule so we get a better overview of when each of us have time. This will make it easier to plan meetings during the week and we might also go for shorter meetings instead of meeting just once a week, which tends to be quite long.    3 1. Make common schedule which shows each team member has time. We may have meetings more regularly.
Language barrier: do we understand the same things? 2     1 1. Record all the important issues we have come across and write down the details of them to make them clarified. Ask ourselves whether we understand them and whether we have doubts about them.
Updating minutes 6 If we notice that a team has forgot to update the minutes we could send out an email reminder.    5 1. Each team may assign a teammember to write and update the minutes. Inside a team, if the person who is responsible for this forgets to update, the leader of the team needs to remind the person. Outside the team, if a team forgets to update the minutes, the other team could remind the team by email.
Same goals/ same process: Do we have the same focus?
1 Maybe try to formulate our focus by writing it down and then afterwards have a discussion if there is still unclarities.    2
      Too much documentation
4 Focus less on documentation and write it as we go along...
Meetings go on for too long 5 We should try and set a limit to how long the meetings will last, e.g. 2 hours at most and then everybody should be aware of this and try to keep to it. This might make the meetings more focused, since we get less tired, we might however have to meet more regularly.    6 1.We could put the things to be discussed in the meeting on the Assembla and get the questions ready before the meetings.  2. We could try to set an agenda for each meeting and arrange the time range for each activity. 3. We could have meeting more regularly.
We miss having an agenda before the meeting 7 We should try and do an agenda before the meeting and try and keep to it during the meeting. One idea could be to have an ongoing agenda for each meeting on assembla and then we can all add to it before the meeting. All items added to the agenda should also contain a time estimate so we when the meeting begin easily can select those that we want to cover during this meeting keeping within the time frame.    4 1. We could try to have an agenda for each meeting and this may help us solve a lot of problems.
